FULL JOB DESCRIPTION

The Assistant Property Manager will assist with management of a diverse portfolio of office, industrial and retail properties. This position is responsible for assisting with building operations, building systems, lease administration, vendor service contract management, client reporting, tenant relations, financial management and project management.

JOB DUTIES

  • Assist in the preparation of annual and stub property budgets.
  • Answer calls, emails, and other requests and direct to the appropriate parties. Provide excellent customer service with tenants, vendors, and others.
  • Ability to assess and problem solve issues or escalate to PM/SPM in a timely manner.
  • Prepare monthly reports.
  • Assist with preparation of common area maintenance reconciliations.
  • Manage and assist in the processing of lease and document abstracting, including assisting in the management of third-party vendors who perform the work.
  • Review Yardi information for accuracy.
  • Manage and schedule work orders.
  • Prepare vendor agreements in line with company protocol.
  • Assist Property Management team to ensure properties are in full compliance, i.e. current insurance in place for tenants, vendors, annual fire inspections, etc.
  • Assist in the review of Financial Reports including Account receivable, accounts payable, General Ledger, Income statements, Tenant Ledger (to include additional charges and rents paid.)
  • Assist with drafting formal letters and notices for review by direct report.
  • Model behaviors that are consistent with the Company’s values.

QUALIFICATIONS, KNOWLEDGE, AND SKILLS

  • Passion to learn about the Commercial Real Estate industry and desire to grow within the organization
  • Ability and desire to be flexible, multitask and prioritize multiple duties and deadlines.
  • Excellent communication and listening skills, phone and written
  • Strong organizational skills and detail oriented.
  • Understanding of basic business math
  • Must be able to pass a background screening.
  • Must be professional, courteous, and service-oriented.
  • Ability to respond effectively to sensitive issues.
  • Be reliable, honest and a team-player.
  • Ability to comprehend and/or learn about property documents, financial reports, and legal documents.
  • Must have strong computer skills, proficient in Microsoft Office, Word, Excel, and have fast, reliable internet.
  • Minimum of high school diploma or equivalent
